General, Professional, and Optional Internships

Information regarding the internship process and the forms that must be completed for students undertaking general, professional, and optional internships is provided on this page. Interns complete their internships in accordance with the Internship Implementation Guidelines.

Interns are required to complete first a 30-day general internship, followed by a 30-day professional internship. Half-day internship days are not valid, and professional internships cannot be completed without first completing the general internship. Our interns with a minimum GPA of 2.00 are eligible to begin their internships at the end of the 4th semester.

Interns must prepare two types of documents for the start and end of their internships. Legible and clear documents will expedite the processing; documents that are not legible or clear will be rejected.

  • Pre-internship documents are submitted to the department secretary’s office by completing the KOM | Pre-Internship Document e-Submission Form.
  • Post-internship documents are submitted to the Internship Coordination Office by completing the KOM | Post-Internship Document e-Submission Form.

 

FR forms are available on the Quality Coordination Office’s website; other documents are shared on this page. It is recommended to access the internship process directly through this page and to download the FR forms directly from the Quality Coordination Office’s website. Documents accessed via search engines may not be up to date, could mislead the intern, and may result in the documents being rejected.


Submission of Pre-Internship Documents

The pre-internship documents listed below must be submitted to the department secretary’s office by completing the KOM – Pre-Internship Document Online Submission Form no earlier than 30 days and no later than 18 days before the start of the internship. All documents must be clear and legible; they must be completed electronically—except for signatures, stamps, and seals—which must be applied by hand. Documents that do not meet these requirements will be rejected.

  1. 1 copy of the FR-1877 Internship Application Form
    • This document is used during the initial internship application process and contains information about the intern and the company. It also includes details regarding the unemployment fund contribution for the intern’s compensation.
    • It must be stamped, sealed, and signed by hand by the company’s HR specialist or any authorized representative, and must also be signed by hand by the student intern.
    • The intern’s photo must be attached electronically.
    • The completed form must consist of 1 page; documents that do not consist of 1 page will be rejected.
  2. 1 copy of the SPAS Eligibility Certificate
    • This document indicates the intern’s health insurance status.
    • The document must be obtained through the SPAS Eligibility Inquiry service on e-Government. You can generate a barcoded document using this service.
    • The generated form must consist of 1 page; documents that do not consist of 1 page will be rejected.
  3. 1 copy of the FR-0286 Internship Record Form
    • This document contains the intern’s registration information.
    • In this document, only the row containing information about the intern and their internship (the row with the intern’s photo) and the “Information on the Institution Where the Internship Was Completed” section (name and address) must be filled out electronically.
    • In the “Type of Internship” section, “General Internship,” “Professional Internship,” or “Elective Internship” must be written, depending on the type of internship completed.
    • The text ending with “Sincerely” is signed by the department chair and must not be signed by the intern or the company.
    • The “Institution Authorized Representative” and “Evaluation” sections must be filled out by hand, stamped, and signed by the engineer responsible for the intern at the end of the internship. These sections must not be filled out before the internship begins.
    • The completed form must consist of 1 page; documents consisting of more than 1 page will be rejected.
  4. 1 copy of the FR-1936 Information Form on Unemployment Fund Contributions to Internship Stipends
    • This document contains information regarding the unemployment fund contribution included in the payment to be made to the intern.
  5. 1 copy of the 10/2025–09/2026 Internship Schedule
    • This document specifies the days on which the internship will take place.
    • After the days of the internship are marked, the intern’s first and last name must be written and the form signed.
    • The intern may combine two internship schedules if necessary.
    • The internship schedules published by the Faculty Internship Office and shared here must be used; no other schedules should be used.
    • Students taking courses during the semester (excluding internships and capstone projects) may not complete an internship during the final week of the semester.
    • The intern must complete at least 3 full days of internship per week.
    • The format shared above must be used when filling out the internship schedule.
  6. 1 ID Card
    • The front and back of the ID card must be prepared on a single page.
  7. 1 copy of the Transcript
    • The transcript must be downloaded from OBS on the day of application and must include information about any previous internships.
  8. 1 attached Internship Commitment Form
    • Internships cannot be conducted on class days during the semester (Fall / Spring / Summer). Interns completing an internship during the semester must fill out 1 Internship Commitment Form, declaring that they have no classes on the days marked on the internship calendar and acknowledging that their internship will be rejected if they have classes on those days. When filling out the form, the template provided here must be used; it must be completed electronically and signed by hand.
    • The Weekly Class Schedule must also be included with the form.
    • Interns who complete their internship on Saturday and/or Sunday must obtain one letterhead document from the company where they work—stamped, sealed, and signed—confirming that Saturday and/or Sunday are considered full workdays, and must submit this document as well. Documents not on the company’s letterhead are invalid.

    • When filling out the application, you must use the format provided here; it must be completed electronically and signed by hand.

Review and Acceptance of Pre-Internship Documents

Pre-internship documents are reviewed by the department secretary and the internship committee within 2 business days at the latest. The review processes are as follows:

  1. The system checks the submission dates of the documents. If the documents are not submitted within the expected timeframe, they are automatically rejected, and an automated email is sent.
  2. The department secretary reviews the documents. If any issues are found, the documents are rejected, and an email explaining the reason for rejection is sent through the system.
  3. The internship committee responsible for the evaluation reviews the company where the internship will take place. If the committee deems the company unsuitable, it notifies the department secretary of the reason. The department secretary then rejects the documents and sends an email through the system explaining the reason for the rejection.
  4. Documents that have been approved by both the department secretary’s office and the internship committee are processed by the department secretary’s office, and an email confirming their acceptance is sent. The documents are forwarded to the faculty internship office and entered into the SGK system.

 

The internship start documents that the intern must pick up in person from the department secretary’s office before the internship ends are as follows:

The internship start documents may be rejected following evaluation. In this case, the intern will need to fill out the e-submission form again. To ensure the internship process is not disrupted, it is recommended that the e-submission form be completed before the latest possible submission date and that email addresses be checked regularly.


Submission of Post-Internship Documents

The internship completion documents listed below must be submitted to the Internship Coordination Office no later than one month after the internship ends by completing the KOM - Post-Internship Document Electronic Submission Form. All documents must be completed electronically, except for signatures, stamps, and seals, which must be added by hand.

It is not acceptable to edit any documents electronically after they have been scanned.

  1. 1 copy of the FR-1876 YTÜ Internship Logbook (Report Format)
    • Students in the 30% English program must prepare it in either Turkish or English, and students in the 100% English program must prepare it in English.
    • The work performed must be written under subheadings and supported by photographs.
    • Internship pages must not contain blank spaces, and text of an appropriate length must not be used merely to fill in blank spaces.
    • Contrary to what is specified in the format, the “Objective” section of the internship logbook must consist of at least 1 page, the “Method” section at least 5 pages, and the “Results” section at least 1 page. The “Objective,” “Method,” and “Results” sections combined must total at least 7 and no more than 10 pages.
    • After the internship logbook is created electronically, it must be printed, and the required fields must be stamped, sealed, and signed by hand. Subsequently, the printed pages must be bound into a ring-bound book, and after being bound, they must be scanned and converted to PDF format.
    • Internship logs that are not stamped, sealed, and signed by hand will not be accepted.
    • The internship logbook must be scanned only after it has been bound with wire. Internship logbooks scanned before being bound with wire will not be considered valid. Whether the scanned internship logbook has been bound into a spiral-bound notebook will be verified by checking for the presence of a wire or wire holes on the left side of the pages.
    • When printing the internship logbook, care must be taken to ensure that images are legible and understandable; if necessary, color prints of pages containing images should be made.
    • The internship logbook, once bound, must be retained throughout the duration of the undergraduate education program. In certain cases, the department may request the logbook in bound form. There is no need to submit the internship logbook to the department secretary; the logbook uploaded to the system is sufficient.
    • The engineer responsible for the internship, who stamps and signs the internship logbook, must also indicate the engineering discipline from which they graduated alongside their stamp and signature. In addition, the engineer supervising the internship must have graduated from one of the engineering disciplines specified for our department in the table found in the Internship Implementation Guidelines. Otherwise, the internship logbook will be rejected.
  2. 1 copy of the SGK 4A Insured Employee Hiring Report
    • This document must be obtained through the e-Government portal using the “4A Employment Start/End Declaration” service. You must use this service to generate a barcoded employment start certificate and upload it.
  3. 1 copy of the SGK 4A Insured Employee Termination Report
    • This document must be obtained through the e-Government portal using the 4A Employment Start and End Declaration service. You must use the service to generate a barcoded employment termination certificate and upload this document.
  4. 1 signed FR-0286 Internship Record Form, completed by the engineer who signed the internship logbook
    • The engineer responsible for the internship, who stamps and signs the internship record form, must also indicate the engineering discipline in which they hold a bachelor’s degree in the “Title” section. In addition, the engineer responsible for the internship must have graduated from one of the engineering disciplines specified for our department in the table found in the Internship Implementation Guidelines. Otherwise, the internship logbook will be rejected.

Evaluation of Post-Internship Documents

The internship coordination office conducts a preliminary review of post-internship documents within 7 business days, after which the documents are forwarded to the internship committee. The internship committee evaluates the forwarded documents within 30 days. The evaluation process is as follows:

  1. The internship coordination office reviews the documents. If any issues are found, the documents are rejected, and the reason for rejection is specified. If the documents are accepted, they are forwarded to the appropriate internship committee. An email is sent regarding the forwarded or rejected documents and the reason for rejection.
  2. The internship committee reviews the internship logbook. An email is sent regarding the accepted or rejected internship logbook and the reason for rejection.

 

As a result of the evaluation, the internship is

  • is approved and processed in the automated system.
  • if the internship logbook is found to be non-compliant, the student is asked to correct it within 30 days. For the internship logbook requiring correction, the process of submitting post-internship documents begins again. When filling out the e-submission form, the student must indicate which committee previously evaluated the internship.
  • The intern is evaluated through an interview.
  • It is rejected, and the intern is required to complete another internship.
